training and meeting facility in the heart of
Blue Ash. The Institute's spacious facility offers training and
meeting rooms and conference space. Video conferencing is also

GENERAL RENTAL POLICIES
UC Raymond Walters College
1.
It
is the general University policy not to compete with local facilities and
only to provide supplemental services of facilities when those in the community
are inadequate or unavailable.
2. Academic programs have the highest
priority and supersede all other use of facilities. Caution is exercised
when making rental commitments so as not to commit space before knowing
the academic needs for the time when space is requested.
3.
UC
Raymond Walters College reserves the right to deny use of all facilities
while ensuring that the decision has not been based on ethnic, racial, gender,
disability, sexual orientation, or religious grounds.
4.
UC
Raymond Walters College facilities may not be used for direct commercial
purpose or for the financial benefit of any individual or commercial sponsor.
Individuals/groups who charge admission to an event at UC Raymond Walters
College must provide proof of not-for-profit status (i.e., 501 C or 501
C3 status) or an equivalent proof of not-for-profit status before an event
is scheduled.
5. Any group or individual sponsoring
an event at UC RWC assumes the full financial responsibility connected with
the event.
6. Non-university groups co-sponsored
by a university faculty or staff member will be charged the full rental
fee and direct expenses incurred by the college in connection with the event
unless the sponsoring faculty or staff member is in attendance at each function.
The Facilities Use Committee may waive charges if it is decided that a function
benefits the community as a whole. However, all direct costs (i.e., maintenance,
janitorial, and/or security) will still be assessed when they are applicable.
7.
After an agreement has been made to rent space, the Space Rental Application
to Schedule Facilities form will be completed and mailed to the individual
or organization securing space. Payment in full must be received three (3)
days before the event and is non-refundable from that date on. Make checks
payable to the University of Cincinnati and mail to the Community Relations
Manager. Appeals for exceptions to established charges will be referred
to the Facilities Use Committee or the appropriate administrator. Users
who do not pay charges when due will be denied use of the facilities.
8.
Non-university
groups will be required to obtain comprehensive general liability insurance
coverage for bodily injury and property damage in the amount of
$1 million per occurrence or as determined by the University of Cincinnati
Office of Risk Management. When required, the proof of insurance must be
on file no later than two weeks before the scheduled event. A security deposit
may also be required.
9.
Requests
by non-college groups for use of UC Raymond Walters College facilities for
activities, which are in competition with the college's educational or cultural
offerings, will not be approved. Determination of whether competition exists
will be decided by the Facilities Use Committee in consultation with academic
and administrative units.
10.
UC
Raymond Walters College facilities are not available to non-university groups
for partisan political programs, receptions, fund-raisers, or similar activities.
11.
Cancellation
or changes in confirmed reservations must be received in the College Relations
office no later than three (3) days prior to the event. Users will be held
responsible for any charges incurred due to cancellation.
12.
If
food service is desired and is permitted in the room, users must make their
own arrangements with caterers. UC Raymond Walters College does not recommend
caterers. Users will be responsible for the removal of all food items, equipment,
and garbage immediately following the event. Sponsoring groups will receive
an additional housekeeping charge for food items and garbage left in the
room. Extra trash containers are available upon request for your event.
13.
All
publicity and advertising materials used to promote events at UC Raymond
Walters College must be submitted at least 30 days before the scheduled
event to be approved by the College Relations Office. For advertising purposes,
please use the title UC Raymond Walters College in media correspondence.
14.
Individuals or groups requiring audio-visual equipment support while using
campus facilities must work directly with the Media
Services Center to make these arrangements. Charges for all AV media
support are in addition to facility rental rates. While most AV equipment
is easily operable by the user, certain items require a RWC technician to
operate. Additional charges are assessed for any required operators. After
the event, the Media Center will submit its charges to the Raymond Walters
College Business Office in a timely manner, so that charges can be billed
to the users.
All media equipment rentals are intended for on-campus use only. Rental
patrons may not bring any audio-visual equipment on-campus that requires
connection to house facilities unless a required item is unavailable through
the Media Services Center, to insure facility compatibility and electrical
safety. Contact the Media Services Center at (513)745-5717 for additional
information.
15. Charges will be assessed according
to the information included in the Schedule of Fees. If an event lasts more
than four hours, additional maintenance and housekeeping time will be assessed
hourly. The College will make the determination as to whether maintenance,
janitorial, and/or security services are required. Following an event, the
Maintenance Supervisor will notify the Business Office if additional charges
have been incurred.
16. The
individual reserving space is responsible for checking room set-up prior
to the event. It is the responsibility of the reserving party to attend
to all pre-set-up arrangements. Flory Center faculty and staff will not
change room set-up.
